Terms & Conditions
By confirming a booking with Friends Tour & Travels, the guest agrees to the following Terms & Conditions. Guests are requested to read these conditions carefully before making any payment.
A booking will be considered confirmed only after receipt of the required booking/advance amount and confirmation from Friends Tour & Travels.
Tour availability, hotel rooms, vehicles, train/flight tickets and other services are subject to availability at the time of booking.
The booking amount/advance must be paid within the time specified in the quotation or tour announcement.
The remaining balance must be paid within the deadline communicated by Friends Tour & Travels.
Failure to make payment within the specified time may result in cancellation of the booking, subject to the applicable cancellation policy.
Cancellation charges will be calculated according to the scheduled tour departure date:
Cancellation requests must be communicated to Friends Tour & Travels through an official communication channel.
Any non-refundable amount already paid or committed to hotels, airlines, railways, transport operators, activity providers or other third-party suppliers may be deducted from the applicable refund.
Refunds, where applicable, will be processed after cancellation is confirmed and the final refundable amount is calculated.
Train and flight tickets are subject to availability and the rules of the respective railway/airline.
Confirmation of a tour booking does not automatically guarantee confirmed train or flight tickets unless specifically mentioned in the package.
Any cancellation, rescheduling, delay, route change or fare difference imposed by an airline, railway or other carrier will be governed by that service provider's applicable rules.
Hotels will be provided according to the package category and availability.
The exact hotel may be changed to another property of a similar category when necessary due to operational circumstances or non-availability.
Standard hotel check-in and check-out policies will apply.
Room allocation will be managed according to the confirmed booking arrangement. Requests regarding floor, view, adjacent rooms, specific room numbers or other preferences are subject to availability and cannot be guaranteed unless specifically confirmed in writing.
Transportation will be provided according to the itinerary and package inclusions.
Vehicle type will depend on group size, destination, road conditions and package specifications.
AC may not operate in hill areas or when prohibited/restricted by local regulations.
Vehicle usage outside the confirmed itinerary may result in additional charges.
Sightseeing will be conducted according to the confirmed itinerary, subject to weather, road conditions, local regulations, opening hours, permits and operational feasibility.
If a sightseeing location cannot be visited because of bad weather, road closure, government restrictions, strikes, natural events or circumstances beyond our reasonable control, Friends Tour & Travels will attempt to make suitable operational adjustments where reasonably possible.
No refund can be guaranteed for sightseeing missed due to circumstances beyond the company's control.
Friends Tour & Travels reserves the right to modify the sequence or timing of the itinerary when reasonably necessary for guest safety or due to weather, road conditions, transport disruption, government restrictions, local conditions or other operational requirements.
Where possible, the overall tour plan and included services will be maintained.
Unless specifically included in the package, personal expenses such as shopping, laundry, room service, telephone charges, additional meals, beverages, optional activities, porter charges and personal transportation will be borne by the guest.
Any additional cost caused by circumstances beyond the package arrangement, such as road blockage, natural disaster, transport cancellation or unexpected extended stay, may also be payable by the guest where such costs cannot reasonably be absorbed by Friends Tour & Travels.
Entry tickets, permits, guide charges, safari charges, adventure activities, boating, ropeway tickets and similar expenses are included only when specifically mentioned in the package inclusions.
Guests must carry valid identification and documents required for the destination.
Guests are responsible for:
Friends Tour & Travels will not be responsible for problems caused by incorrect information or documents supplied by a guest.
Guests participating in group tours must follow the announced reporting and departure times.
The group cannot ordinarily be kept waiting for an individual guest if doing so would significantly affect the itinerary or other travellers.
A guest who misses scheduled transportation or sightseeing because of their own delay may have to arrange alternative transportation at their own expense.
Room and vehicle seat allocation will be managed according to operational requirements and confirmed booking arrangements.
Meals will be provided only as specified in the package.
Meal menus may vary depending on destination, local availability and operational circumstances.
Special dietary requirements should be communicated before the tour. Friends Tour & Travels will make reasonable efforts to accommodate such requests but cannot guarantee every dietary requirement at every destination.
Guests are responsible for considering whether they are physically fit for the selected destination and activities.
Guests who require special assistance should inform Friends Tour & Travels before booking so that the feasibility of appropriate arrangements can be assessed.
For high-altitude, trekking or physically demanding tours, guests should obtain appropriate medical advice before travelling where necessary.
Guests are responsible for their own luggage, cash, jewellery, mobile phones, cameras, documents and other personal belongings.
Friends Tour & Travels will provide reasonable assistance if an item is lost but cannot guarantee recovery of lost, misplaced, stolen or damaged personal belongings.
Friends Tour & Travels will not be responsible for failure or changes in services caused by circumstances beyond its reasonable control, including natural disasters, severe weather, landslides, floods, snowfall, road closures, strikes, political disturbances, government orders, epidemics, transport disruption or similar unforeseen events.
The company will make reasonable efforts to provide alternative arrangements where practically possible.
Additional expenses arising from such circumstances may be payable by the guest.
Guests must behave responsibly and must not create serious disturbance, threaten the safety of others, damage property or repeatedly interfere with the operation of the tour.
In serious circumstances, Friends Tour & Travels may discontinue services to a guest when reasonably necessary for the safety and smooth operation of the tour.
Any expenses resulting from such action may be borne by the concerned guest.
Any damage caused by a guest to hotel property, vehicles or other third-party property may be charged directly to the responsible guest according to the service provider's assessment and applicable rules.
Only services specifically mentioned under Package Inclusions will be considered included in the tour price.
Anything not specifically mentioned as included should be considered excluded unless separately confirmed in writing by Friends Tour & Travels.
Friends Tour & Travels may take photographs or videos during group tours for business and promotional purposes. Guests who do not wish to appear in promotional material should inform the tour manager or company representative.
Hotels, airlines, railways, vehicle operators, guides, activity providers and other suppliers operate as independent service providers.
Their individual rules, cancellation conditions and operational policies may apply to the services they provide.
If a guest experiences a problem during the tour, they should inform the tour manager or Friends Tour & Travels as soon as reasonably possible so that an attempt can be made to resolve the issue during the trip.
If Friends Tour & Travels has to cancel a tour, guests will be informed as soon as reasonably possible.
The refund or alternative arrangement will depend on the circumstances of cancellation and recoverability of amounts already paid to third-party service providers.
Where appropriate, guests may be offered an alternative departure date, tour or applicable refund.
Payment of the booking amount or confirmation of the tour will be treated as acknowledgement that the guest has received and accepted the applicable package details, inclusions, exclusions, payment conditions, cancellation policy and these Terms & Conditions.
